Case Study: 'Two’s Support'

Two’s Support is a business service provider located in Eindhoven,The Netherlands,which focuses on secretarial management and organizational support.An important part of Two’s Support’s activities is producing the minutes of meetings."This requires a constant high concentration levels from the minute taker," explains managing director Jolanda Heesakkers-Hellings."Meetings often take up to two or three hours or even longer.As a minute-taker you need to exactly report the presentations,financial information and action points,then the notes are elaborated on back at the office." Case Study: Pine County, MN Coordinator’s Office

While dictation is used for a wide variety of purposes by numerous county agencies, one of its key functions is to chronicle business conducted during public hearings and meetings. Traditional analog (tape-based) systems, however, fell well short of providing the tools county staff needed for adequate documentation.

"Among the biggest problems we had were inaudible sections throughout the recordings," says Erika M. Fornengo, executive assistant for the county coordinator’s office. "Sometimes as much as one-third of a tape could not be understood."

The Solution

The Philips 955 Conference Recording System was ultimately implemented in early 2008. The county coordinator’s office was one of the first government agencies to fully embrace the new Philips conferencing technology.

This new functionality has dramatically improved the report quality for board gatherings and public hearings. Employees now capture meetings with advanced microphones equipped with two-channel audio encoding. "For our first public hearing after purchasing the Philips system, we set up two units – one in the front and the other in the back of the room," says Fornengo. "That was the way we had always done it before because we were used to the recorders not picking up everything that was said. This time, when we listened to the playbacks, we realized we didn’t need both microphones because each one captured everything so well."

Expanding its reliance on digital Pine County didn’t stop with adopting Philips digital equipment only for its conferencing functionality. It also purchased 45 portable Philips Digital Pocket Memo 9600 recorders for staff members to use in the fi eld when dictating which items require immediate transcription. Because they can monitor the work queue from their desktop computer, transcriptionists can readily spot priority levels assigned to specific files. "Before, if someone needed a report right away, they would have to drive or walk in and hand me a tape,” says Janssen. “Now I just regularly check my email and when I see a file with a high priority, I access it right away."
